Use these proven, high-converting templates to send to your prospects and customers to increase your sales and grow your business.
Purpose: This is the equivalent to cold calling: you have someone's contact information, but not a longstanding relationship with them. Note that cold emails are different from SPAM emails, which are illegal - consult this guide from GMass if you want to ensure you're not violating any SPAM laws in your country. Generally speaking, you just need to act in good faith, identify your business immediately, and make it clear what the purpose of your email is.
Hi [Name],
This is [Your name], from [Your company]. We met through [Referral name, mutual contact, event, etc.]. I wanted to see if you're satisfied with your current communications partner. [Your company] works with many other [Small/med/large] businesses in [Insert Industry] to provide integrated communication services - including phone, video, text, and instant message both for your internal teams and external communications. We find a lot of our customers are frustrated with lack of integration, frequent downtimes, and long holds for support - does that sound familiar? Purpose: If you've already reached out to a lead via email, phone, or both and haven't heard back, you can use this template as a final check-in. If you're using an email sending tool like MailChimp or Constant Contact that lets you see who opened your email but didn't reply, prioritize those contacts when sending a nonresponse email.

Purpose: This email is designed to be sent after you've reached out to a prospect over the phone. Whether you spoke with the person directly or reached their voicemail, sending a follow-up email keeps you top of mind. This is especially important if you were unable to speak to the person, as voicemails are easily deleted.

Purpose: Let's say you've done the hard work of convincing a lead to consider using you as a MSP. Congrats! Quote emails tend to be to the point, but this is another opportunity to remind a lead of your unique differentiator and demonstrate value.
